Bulk WhatsApp Messaging: Complete Campaign Guide

Master bulk WhatsApp campaigns. From contact import to send optimization and performance tracking.

A campaign in Ghala sends an approved template to a chosen audience: hundreds or thousands of contacts, each message personalized with their details. Done well, campaigns feel like a helpful message from a shop the customer knows. Done badly, they feel like spam and damage your number. This guide covers both the mechanics and the discipline.

Before You Start

Two prerequisites:

  1. An approved template. Campaigns can only send Meta-approved templates; see WhatsApp Message Templates
  2. An audience that opted in. Every recipient should have agreed to hear from you on WhatsApp

WhatsApp tracks how customers react to your messages. Blocks and reports lower your quality rating, which can throttle how many people you're allowed to message. Consent isn't just polite; it protects the asset.

Create a Campaign

  1. Go to Campaigns and click New campaign
  2. Name the campaign so future-you knows what it was (august-restock-vips, not campaign-7)
  3. Add contacts: pull them in from your CRM, using tags to target the right segment
  4. Add your message steps (see below)
  5. Review and execute

Campaign Steps and Drip Sequences

A campaign is a sequence of one or more steps. A single step is a classic broadcast: one template, sent to everyone. Multiple steps make a drip sequence: each step sends its template on its own schedule, so the campaign unfolds over days instead of landing all at once.

A typical product-launch drip:

3 +5 days Last-call with a checkout link

Each step uses its own template and can be edited or removed while the campaign is being assembled.

Targeting: Send Less, Sell More

The tags you maintain in Contact Management are your targeting tools:

  • New stock of running shoes → contacts tagged shoes, not the whole base
  • Delivery day in Arusha → arusha only
  • Win-back offer → lapsed, excluding anyone who bought this month

A smaller, better-targeted send gets more replies and fewer blocks than a blast to everyone: and replies, not deliveries, are what turn into orders.

Track Performance

The campaign view shows how each send is doing: delivery and engagement in real time. Watch for:

  • Delivered rate — low delivery usually means stale numbers in the audience
  • Read and reply rates — the honest measure of whether the message was welcome
  • Blocks — a spike means the audience didn't expect the message; tighten targeting before the next send

When customers reply, the conversation lands in your inbox like any other chat, and your AI or team picks it up from there. A campaign that ends in conversations is the whole point.

Best Practices

  • Space your sends. One campaign a week to any given contact is plenty; more trains people to block you
  • Send at humane hours. Mid-morning and early evening beat 6 AM
  • Personalize with variables. "Hi Amina" outperforms "Dear customer" every time
  • Start with your warmest segment. Prove the message works on vip before spending your whole audience on it
  • Always include a way out. An opt-out line keeps your quality rating healthy, and honour opt-outs immediately
